Rental Agreement
Renters must complete a Rental Agreement that outlines the general terms and conditions for property rental. A copy of this agreement will be mailed, faxed or emailed to you prior to you placing a booking. The information that follows is a general guideline to vacation rentals. Please note, except in rare circumstances, these terms are not negotiable.
Cancellation Policy
If you cancel your reservation more than 90 days in advance you are subject only to a $50.00 cancellation fee. Any additional monies paid towards your reservation will refunded within 10 days of receipt of cancellation.
If you can cancel within 30 – 90 days of your reservation date your initial deposit of 30% will be held and any additional monies refunded to you. If we are successful in rebooking the same property for the same period of time your initial deposit less a $50.00 cancellation fee will be refunded to you. If we are only successful in rebooking for a percentage of the time you had reserved, we will refund an equivalent percentage of your initial deposit. If we are unable to rebook the property for any portion of your reservation the initial deposit 30% will be lost.
If you cancel within 15 - 30 days of your reservation date, 50% of the amount paid will be held and any additional monies refunded to you. If we are successful in rebooking the same property for the same period of time your total payment less a $50.00 cancellation fee will be refunded to you. If we are only successful in rebooking for a percentage of the time you had reserved, we will refund an equivalent percentage of your total payment less the $50.00 cancellation fee. If we are unable to rebook the property for any portion of your reservation the 50% will be lost.
If you cancel within 14 days of your reservation date, no refund of monies paid will be made unless we are able to rebook the property for the same time period. If we are successful in rebooking the same property for the same period of time your total payment less a $100.00 cancellation fee will be refunded to you. If we are only successful in rebooking for a percentage of the time you had reserved, we will refund an equivalent percentage of your total payment less a $100.00 cancellation fee. No other refund options are provided.
Alternative Accommodation
If the property which you have reserved should become unavailable, you will be notified as soon as possible and Rentabode will attempt to locate an alternative location. The alternative shall be of similar quality for an equivalent period of time in the area you have chosen or any other period of time that suits you. If no suitable replacement is found, all monies paid towards your reservation including reservation service fees will be refunded to you. If the alternative location has a lower rental rate the difference will be refunded to you. If you choose an alternative with a higher rental rate, you are responsible for paying the difference in the rents for the period of time you have selected.
Renter Substitution
As an alternative to canceling a reservation you may substitute another person for the same reservation period. They will be required to complete the same rental application form and if accepted, may assume your reservation. In these cases, your entire rental payment will be refunded less the $50.00 cancellation fee. The person assuming your reservation will subject to the initial $26.75 transaction fee. Alternatively, we may transfer at your request any monies you have paid towards your reservation to the account of the new person. These transactions will still incur the standard cancellation and booking fees, which must be paid no less than 15 days before your reservation date.
Confirmation
Rentabode will confirm your reservation in writing once we have received and approved your application. A map to the property, special instructions and rules for use will be sent to you at least 10 days before your reservation date as long as the total rental amount and security deposit have been paid. If you have not received this information by this date contact us.
N.S.F. Cheques
Returned cheques will be subject to a service charge of $20.00 and standard bank charges. A replacement cheque or alternative form of payment must be provided within seven days or your reservation may be cancelled.
Damage/Security Deposit
A credit card is used as a security deposit and will only be charged against if there is damage to the property or we are required to have the property cleaned. Alternatively, you can provide a cash security deposit of $200.00, which must be provided at the time you pay the rental balance. If there are no damage claims or cleaning charges your entire deposit will be returned within 7 days after your last rental date. If there is a claim, you will be notified by phone as soon as possible after your last rental date.
Property Damage
Cases of loss or damage to the property, contents or outdoor equipment should be reported as soon as possible after such an occurrence. As a renter you are responsible for the replacement of lost items and the cost of damage repair or replacement. It is assumed that some problems may occur as a result of general wear-and-tear. In any case, you should report these to Rentabode if they are acting as the agent or to the property owner. To protect yourself, it is advisable that you make sure your home insurance policy covers you for these risks or purchase the optional insurance rider that will protect you against serious claims.
Arrival and Departure Times
Arrival times are 4:30PM on the starting date of your rental and departure times are 10:30AM on the last day of your rental. If there are exceptions to these times it will be stated in the property description.
Property Access – Keys
In most cases, keys are held within a security lock box which requires you to enter the code number you have been provided with your rental confirmation. Keys are to be returned to the box at the end of the rental period. Failure to do so will result in a charge against your Security Deposit to cover the cost of replacement keys and lock changes. In some cases the property owner will meet you when you arrive or leave the property unlocked. Instructions are included in reservation confirmation. If the property owner is managing the rental, they will make arrangements to provide you with the keys and may meet you at the property.
Telephone Usage
Some vacation properties have telephones, which may be used for the purpose of local phone calls. Long distance calls should be made collect or placed on your calling card. Charges for long distance calls will be deducted from your security deposit in addition to a one-time $25.00 service charge.
Pets
Property listings indicate if pets are allowed. This rule may vary depending upon the circumstances and the pet. Pets are not to be left at the property unattended and should be kept on a leash or prevented from running free. Although you are in the country, many of the same rules apply to pets in urban areas. You are responsible for damage or problems caused by your pet whether it is to the property owners or neighbors. The poop-and–scoop policy applies for dog owners so please clean up after them.
Neighbors
We ask that you respect your neighbors during the duration of your stay. This means no excessive noise, especially after 10:00PM, controlling your pet (if allowed) and respecting privacy. Most property owners will have a neighbor that keeps an eye on their property when they are away and have been instructed who to call if these guidelines are violated. In extreme circumstances, violation of these guidelines can result in cancellation of your stay without refund so please observe these rules of good conduct.
What you should take
The property description will tell you if there are any special requirements. Many properties will have amenities such as television and stereo systems but there are a limited number of stations available. Lawn chairs and patio furniture are provided in most cases.
> Linens including sheets, pillowcases, dish clothes & towels.
> Entertainment items such games, cards and portable music systems.
> Sports and beach equipment.
Water
Water is usually from wells or lake-fed which may not be to your taste. If water is not drinkable it will state this on the property listing. In any case it may be advisable to carry a supply of bottled water or plan to purchase it from one of the area stores. Unless stated otherwise, properties have flush toilets and showers or baths.
Cottage Cleanup
If a cottage cleanup service is offered this will be stated in the listing. Otherwise, renters are required to clean up after themselves before they leave the property. A list of items is included with your reservation confirmation. Garbage must be taken with you or dropped at municipal garbage facilities. Failure to follow these guidelines will result in a charge being placed against your security deposit.
